Implementation of the national e-invoice system-challenges

In an interview with Agnieszka Gajewska, a member of the Main Board of the Accountants Association in Poland, and Piotr Świergoń, a consultant at Soneta working on the enova365 Handel project, they discussed the problems and challenges related to the National e-Invoices System (KSeF) as reported by accountants.
According to Gajewska, one of the most frequently reported problems is the need to describe processes anew. While issuing invoices in the system is automated in many enterprises, the collection, verification, and substantive acceptance of these documents from KSeF pose challenges. The addition of structured invoice fields by the ministry has provided some facilitation, but uncertainties remain regarding the final shape of the proposed solutions and the implementation date.
From the perspective of a software supplier like Soneta, uncertainties regarding the final structure of the XML files and integration with KSeF pose challenges. Designing integration tools that automate processes while ensuring document verification and qualification is a major challenge.
To ease the implementation and usage of KSeF, Gajewska emphasizes the importance of enabling accountants to cooperate with the entire enterprise and involving all employees in the implementation process. Educational activities by software suppliers play a crucial role in preparing for KSeF integration, helping users understand the system and its implementation.
Accounting offices need to adapt their document circulation processes for KSeF, which may involve either downloading invoices from the system or having entrepreneurs download and send them to the accounting office. Educating clients and informing them about the implementation method will be a significant challenge for accounting offices.
Despite concerns, both Gajewska and Świergoń believe that KSeF will bring benefits such as accelerated document exchange, standardized invoice formats, and the system’s use as a document archive for a period of 10 years.
